VRBO Cancellation Policy Explained for Guests

By Ryan Drew | Superhost and Vacation Rental Expert | Last Updated April 16, 2026

Every VRBO listing has a cancellation policy, and it’s one of the most important things to check before you hand over your payment. Miss it, and you could lose hundreds of dollars if your plans change. VRBO gives hosts five policy options ranging from fully flexible to completely non-refundable โ€” and unlike hotels, these rules vary from property to property. Here’s exactly what each tier means for you as a guest, and what to look for before you book.

The 5 VRBO Cancellation Policy Tiers

VRBO hosts choose one of five standard cancellation policies for each listing. The policy is displayed on the listing page under “Policies” or “Rules and policies” โ€” always check it before booking. Here’s what each one means:

1. Relaxed

The most guest-friendly option. Cancel at least 14 days before check-in and you receive a 100% refund. Cancel between 7 and 14 days before check-in and you receive a 50% refund. Cancel less than 7 days before check-in and you receive no refund.

2. Moderate

VRBO’s most commonly recommended policy for hosts. Cancel at least 30 days before check-in for a full refund. Cancel between 14 and 30 days before check-in and you receive a 50% refund. Cancel less than 14 days before check-in and you receive no refund.

3. Firm

A stricter middle ground. Cancel at least 60 days before check-in for a full refund. Cancel between 30 and 60 days before check-in and you receive a 50% refund. Cancel less than 30 days out and you receive no refund.

4. Strict

Cancel at least 60 days before check-in for a full refund. Cancel after that and you receive no refund at all โ€” there’s no partial refund window under the Strict policy.

5. No Refund

Exactly what it sounds like. No refund under any circumstances, regardless of how far in advance you cancel. This policy is rare but it exists, and it’s critical to spot before booking.

PolicyFull Refund Window50% Refund WindowNo Refund After
Relaxed14+ days out7โ€“14 days outUnder 7 days
Moderate30+ days out14โ€“30 days outUnder 14 days
Firm60+ days out30โ€“60 days outUnder 30 days
Strict60+ days outNoneUnder 60 days
No RefundNoneNoneImmediately

One important detail: cancellation deadlines are measured by the check-in date, and they cut off at 11:59 p.m. in the property’s time zone on the last qualifying day. If your check-in is on the 30th and you’re on a Moderate policy, you need to cancel before midnight (property time) on the first of the month to qualify for a full refund โ€” not just any time during that day.

Ryan’s Take: The Moderate policy is the sweet spot for most guests. It gives you a 30-day full-refund window which is enough time for most life changes, while the 14-day 50% window means you’re not completely out of luck with shorter notice. When I see a Firm or Strict policy on a listing I really want, I pay closer attention to whether that trip is actually locked in before I hit book. If there’s any chance the trip falls through, I’ll look for a comparable property with a more flexible policy instead.

Where to Find the Cancellation Policy Before Booking

VRBO displays the cancellation policy on every listing page. Here’s exactly where to find it:

  1. Go to this page on VRBO and open any listing you’re considering.
  2. Scroll down past the photos and property description.
  3. Look for the “Policies” or “Rules and policies” section.
  4. The cancellation policy is listed there โ€” it names the tier (Relaxed, Moderate, etc.) and shows the specific refund windows.
  5. You’ll also see it again summarized during the checkout flow, before you confirm payment.

The policy shown on the listing at the time of booking is the one that applies to your reservation โ€” even if the host changes their policy later. Changes to cancellation policy do not apply retroactively to existing bookings.

Is the VRBO Service Fee Refunded If You Cancel?

The VRBO service fee is refunded only if you cancel within the window that qualifies you for a 100% refund. If you receive a partial refund (50%) or no refund at all, VRBO does not refund the service fee. This means your actual out-of-pocket loss in a no-refund scenario includes both the rental amount and the service fee. For more on how the service fee works, see the full guide to the VRBO service fee for guests.

Search VRBO and check every listing’s cancellation policy before you book โ€” it’s displayed on every property page.

What If the Host Cancels on You?

If a host cancels a confirmed booking, you receive a full refund โ€” including the service fee โ€” regardless of the policy or timing. VRBO takes host cancellations seriously: hosts face financial penalties, ranking drops, and potential loss of Premier Host status for canceling confirmed reservations. VRBO’s Book with Confidence Guarantee also applies here โ€” if a host cancels and you’re left without a property close to your trip, VRBO will work to help you find comparable alternative accommodation.

How to Cancel a VRBO Booking as a Guest

If you need to cancel, do it directly through your VRBO account rather than contacting the host and asking them to do it. A host-initiated cancellation carries penalties for the host โ€” some hosts will ask you to submit the cancellation yourself to avoid this, and that’s the correct approach anyway. Here’s how:

  1. Log into your VRBO account.
  2. Go to My Trips.
  3. Select the booking you want to cancel.
  4. Click Change or cancel.
  5. Follow the prompts. VRBO’s system will show you the refund amount you’re eligible for based on the property’s cancellation policy and how far out your check-in is.
  6. Confirm the cancellation. The refund (if applicable) is processed automatically.

VRBO also has a virtual assistant in the cancellation flow that walks you through the process step by step.

Extenuating Circumstances: When the Rules Can Change

VRBO has an Extenuating Circumstances Policy that can override a host’s standard cancellation policy in certain situations โ€” natural disasters, mandatory government evacuations, serious illness, and similar events beyond the control of either party. If one of these events affects your booking, you may be eligible for a full refund even if the property has a No Refund policy.

These waivers are not automatic โ€” you’d need to contact VRBO and provide documentation. And not every unexpected event qualifies: a personal change of plans, a work conflict, or routine illness typically does not trigger extenuating circumstances coverage. Travel insurance is the better solution for those scenarios.

Ryan’s Take: If you’re booking a Firm or Strict policy property for a big trip โ€” think family reunion, milestone birthday, expensive destination โ€” get travel insurance. VRBO’s extenuating circumstances coverage has real limits, and a family member getting sick the week of your trip almost certainly won’t qualify. A decent travel insurance policy costs a fraction of what you’d lose on a non-refundable booking. It’s not optional for high-stakes trips.

Frequently Asked Questions

Can the host change the cancellation policy after I’ve booked?

No. The cancellation policy active on the listing at the time of your booking is locked in for that reservation. If a host updates their policy later, it only applies to future bookings โ€” not yours.

What does “50% refund” actually mean โ€” 50% of what?

The 50% refund applies to the rental amount โ€” the nightly rate plus any mandatory host fees like the cleaning fee. The VRBO service fee is not refunded in a partial-refund scenario. Taxes are generally non-refundable. Refundable damage deposits are returned separately regardless of cancellation.

Can I get a refund if the property isn’t as described when I arrive?

Yes, potentially. VRBO’s Book with Confidence Guarantee covers situations where the property materially doesn’t match its listing โ€” wrong number of bedrooms, amenities that don’t work, a significantly different location. Contact VRBO support immediately upon arrival if this happens, before checking in fully. Document everything with photos. This is a separate process from the standard cancellation policy.

Is there a difference between canceling early vs. at the last minute?

Yes โ€” significantly. The earlier you cancel, the more you recover. Every policy tier has a refund window structure that rewards early cancellation. Canceling 60 days out on a Moderate policy gets you a full refund; canceling 10 days out gets you nothing. Check the specific policy on your listing and act as early as possible if you know your plans are changing.

Does VRBO offer free cancellation listings?

VRBO has a “Free Cancellation” filter in its search results. This surfaces properties with Relaxed or Moderate policies that include a full-refund window โ€” meaning you can cancel within their specified timeframe at no cost. To use it, run a search, select Filters, and look for the Free cancellation toggle. This is one of the most useful filters for travelers who want flexibility built in.
